About The Role

We at PEI Group are looking for an Event Manager to join us in our office in London to support and deliver the logistics requirements for a portfolio of hybrid conferences, with up to 500 attendees and 30 sponsors per event, worldwide.

Your main responsibilities will include: 

  • Event tech: management of the virtual event platform – building the platform, uploading of delegate lists, agenda & speakers, creating and sending attendee communications
  • Speaker management: working closely with the production team, liaising with all speakers, ensuring they are registered on the CRM systems, updating their information (photos, session details, biography etc) on the website (wordpress) and virtual event platform
  • Stakeholder management: Liaise with the marketing team to ensure the conferences website & virtual event platform is always up to date and accurate
  • Sponsorship management: working closely with our sponsorship team, responsibility for sponsorship deliverables, and registering of sponsor passes. Working closely with our Sponsorship Team.
  • Process invoices to ensure prompt payment and facilitation of post-event P&L accounts
  • Using the CRM system to compile, maintain and use accurate speaker records
  • Liaise with the venue in the lead up to the event: floorplan, venue function sheet etc
  • Provide regular feedback and updates on event progress to line manager

Working Patterns & Structure

  • For this role you will be required to be in the office at the start for training, then a minimum of 3 days a week in the office, and 2 days a week from home
  • Work as part of a team of four producers and five logistics personnel, as part of a larger global conferences team of 30 people
  • Our office is based in the City of London (near St. Paul's)
  • Travel will be required as part of this role, so a valid passport and compliance with international vaccine regulations is required for entry into countries.

About You

Essential Skills & Experience

  • Minimum 5 years’ solid experience within B2B conferences/events
  • Experience with working on multiple events simultaneously
  • Experience with building and managing events platforms such as events apps and/or virtual event platforms
  • Experience with being the sole lead on an event for 100 – 250 people – managing all aspects of the event from registration, speaker, sponsor & venue management to on the day running of the event including the virtual platform
  • Possesses strong onsite leadership skills
  • Excellent communication skills
