About The Role

About the job:

PEI has an exciting opportunity for an enthusiastic and highly proactive Office Manager to join the Asia Pacific HR team. The role is based in Singapore and will oversee office operations across the Asia Pacific region. We are looking for a personable and hands on Office Manager who can cover the whole of the employee experience. The position holder will be pivotal to engagement with employees through the coordination and driving of Culture and Inclusion activities in conjunction with the HR Department. We are looking for someone with strong office management experience, able to strategically think about, and plan for, the future well-being of employees both in the office and those working remotely.

Due to this, the ideal candidate can expect a mixture of BAU and project work, which will come with the opportunity to help shape the HR and people function.

Responsibilities and duties:

  • Manage and oversee all office operations and administrative functions mainly in Singapore but also involve in supporting the other offices in Asia Pacific
  • As required coordinate office renovation, fixture and fittings maintenance and repair
  • Ensuring that the office functions smoothly, including ensuring that office supplies remain in stock and in an orderly fashion, filing is complete, post is sorted etc.
  • Meeting and greeting clients and other office visitors
  • Liaising with building management and external contractors for any maintenance issues
  • Working closely with IT to ensure the office is functional and accessible
  • Ensure health and safety procedures are up to date and carried out
  • Plan and execute team social events in Asia Pacific
  • Support the wider HR team with on and off boarding logistics
  • Work through employee engagement, wellness, and wellbeing initiatives within the office space
  • Budget management for supplies, engagement/social activities
  •  Supporting employees with any issues they may face

About You

Experience

Essential Experience:

  • 5 years relevant experience in Office Administration and Management  
  • Experience of working in MNCs
  • Excellent Word, PPT and Excel experience
  • Experience orchestrating all aspects of an office relocation (conventional lease) including CAT A fit out
  • Exposure to full employee experience in a busy office environment
  • Experience managing an office in Singapore (either leasehold or tenancy)

Desired Experience:

  • Despite this being a Singapore-centric role, experience operating in a Global business would be beneficial
  • Good understanding of office management best practices
  • Familiarity with required H&S regulations 

Essential Knowledge/Skills:

  • Adept with the handling of people data and analytics
  •  Good business partnering skills, including proficiency in prioritising critical issues, and managing workflows
  • Ability to operate with discretion
  •  Flawless attention to detail
  •  Ability to build rapport with all colleagues from CEO to entry level staff
