About The Role

We are seeking a highly skilled and experienced contractor/consultant/freelancer to come on board as an Event Delivery Director for a period of 9 months, to lead the delivery of the Infrastructure Investor Global Summit 2026—a premier event welcoming 3,000 attendees, 130 sponsoring organisations, and 300 speakers. This is a pivotal role in ensuring the seamless execution of our flagship event as we transition to a new location: The Station in Berlin.

Reporting to the Director of Business and Planning Operations, this role requires an accomplished project manager with exceptional stakeholder engagement skills and a deep understanding of event production, AV requirements, and experiential execution. The most critical capability is the ability to manage and deliver complex, large-scale conferences—particularly those featuring integrated conference-exhibition (confex) formats and floorplan-driven exhibitions. Strong vendor negotiation skills are essential to ensure cost-effective, high-quality delivery. While the role does not involve direct line management, success depends on effective cross-functional collaboration and the ability to influence senior stakeholders across the business.

Strategic Event & Experiential Execution
  • Lead the end-to-end planning and logistics of a flagship conference-exhibition event with 3,000+ attendees, ensuring alignment with commercial goals, brand standards, and audience expectations.
  • Translate strategic objectives into detailed operational plans, balancing high-level oversight with hands-on delivery.
  • Collaborate closely with a hired creative agency to deliver their experiential and design vision within budget and logistical parameters.
  • Oversee the implementation of branded environments, activations, and interactive elements to ensure a seamless and high-impact attendee experience.
  • Ensure the integration of all production, AV, and logistical components into a unified event delivery plan.

Complex Conference-Exhibition Delivery

  • Manage all physical and technical components of the event, including floorplan layout, venue build-out, AV production, branding, signage, AV/tech infrastructure and logistics.
  • Ensure smooth integration between the conference content, exhibition spaces, networking zones, and sponsor activations to deliver a unified, impactful attendee journey.
  • Develop contingency plans and risk mitigation strategies to manage complexity and respond to dynamic onsite conditions.

Vendor and Budget Management

  • Manage all vendor sourcing, negotiation, and contracting—covering AV, logistics, staffing, and production—while ensuring operational excellence and cost control.
  • Collaborate with agency and production partners to ensure creative execution remains within agreed budget parameters and event timelines.
  • Manage the event budget with accountability for the event, from forecasting through reconciliation.

Cross-Functional Collaboration & Team Leadership

  • Serve as the cross-functional lead across marketing, delegate sales, sponsorship, content, customer experience, and logistic teams—acting as the glue between strategy and delivery.
  • Partner with internal and external senior stakeholders, including the creative agency to ensure strategic alignment, proactive communications, and shared accountability for success.
  • Provide leadership and mentorship for the existing logistics team to deliver on future integrated conference-exhibition (confex) formats and floorplan-driven exhibitions.
Post-Event Evaluation & Innovation
  • Conduct post-event evaluations, delivering performance reports and actionable insights to inform future summit planning.
  • Identify opportunities to continuously innovate event delivery, integrating industry best practices and emerging trends in large-scale experiential events.

About You

Qualification & Experience 

  • A hands-on event production expert skilled in managing the complexities of large-scale conferences, with specific experience delivering integrated conference-exhibition (confex) formats and floorplan-driven exhibitions.
  • A strategic thinker and hands-on doer who thrives in high-pressure environments.
  • Strong experience in AV, staging, and production workflows to ensure a professional and seamless event.
  • A collaborative leader who can engage with senior stakeholders while influencing and guiding delivery teams.
  • Adept at working within structured project management frameworks, balancing multiple workstreams effectively.
  • Strong understanding of budget management, cost control, and contract negotiation with suppliers.
  • Experience in integrating event technology to drive efficiency and improve attendee experience.
  • Passionate about creating exceptional customer journeys and delivering world-class experiences.
  •  Knowledge of sustainable event practices, aligning with ESG goals and industry standards.
